Privacy Notice

1. Who we are

Arden Oak Recruitment is a care recruitment agency based in Coventry, operating as a sole trader. We help care homes and care providers in Coventry and Warwickshire find local care workers.

For the purposes of UK data protection law, Arden Oak Recruitment is the data controller responsible for the personal information we collect and use.

2. What personal information we collect

We collect the following information when you submit an enquiry or respond to one of our adverts:

• Your first name
• Phone number
• Email address
• Your answers to our screening questions (e.g. experience level, availability, preferred hours)

We do not collect sensitive personal data (such as health information, ethnicity, or criminal records) at the enquiry stage. If this becomes relevant later in the recruitment process, we will ask your explicit consent at that point.

3. Why we collect it and our legal basis

We collect your information to:

• Contact you about care worker roles in Coventry and Warwickshire that match your availability and experience
• Match you with care homes and providers we work with
• Keep a record of candidates we have spoken to

Our legal basis for processing your data is your consent, given when you submit our form or respond to our advert. You can withdraw this consent at any time — see Section 6 for how.

4. Who we share your information with

We will only share your details with a specific care home or provider in Coventry and Warwickshire if we have spoken with you and you have agreed to be put forward for a role.

We do not sell your data. We do not share your information with anyone else, including third-party marketing companies.

We use Facebook (Meta) to collect initial enquiries through lead forms. Meta processes data in accordance with their own privacy policy. You can find out more at facebook.com/privacy.

5. How long we keep your information

If we place you into a role, we will keep your details for 2 years in line with normal recruitment records practice.

If we do not place you, or if you ask us to stop, we will delete your details within 30 days of your request.

6. Your rights

Under UK data protection law, you have the right to:

• Access the personal information we hold about you
• Ask us to correct any inaccurate information
• Ask us to delete your information
• Withdraw your consent at any time — this will not affect anything we have already done in reliance on your consent
• Complain to the ICO if you believe we have not handled your data correctly

Arden Oak Recruitment is registered with the Information Commissioner's Office (ICO) as required by UK data protection law.
